Addressing key management challenges at Kingston Hospital

Kingston Hospital NHS Foundation Trust, known for its outstanding quality and leadership in patient care, faced operational challenges due to manual key management processes.

With 48 buildings sprawling across a vast site, managing keys manually led to inefficiencies, especially during staff handovers and out-of-hours periods.

Liam Topham, Security Manager at Kingston Hospital NHS Trust said:

“Hospitals such as Kingston present a complex security. With 48 different buildings covering a large site, and many keys in operation, it was becoming a challenge for our already busy reception area to manage and ensure their safe return, especially at staff handovers."

Enhancing efficiency and security at Kingston Hospital

Topham identified the need for a smarter, automated solution to streamline key management and ensure the safe return of keys.

“We needed a smarter solution, but one that was simple to operate and quick to respond, with no disruption to the hospital running; Traka presented standalone resources designed to meet the hospital's specific needs with excellent technical support.”

Traka's intelligent key cabinet system was implemented, offering accommodation for 50 keys distributed throughout the hospital. The system, integrated with specialist software, allowed central management control and provided a full audit trail of key transactions.

Traka's solution also offered controlled access to keys using swipe cards, ensuring secure and efficient key management.

Additionally, the system allowed for customizable key permissions, time limits, and curfew functions to enhance security and operational efficiency.

Transforming key management at Kingston Hospital

The implementation of Traka's key management solution at Kingston Hospital resulted in significant improvements in efficiency and security.

The system saved time and resources previously allocated to manual key management processes, allowing staff to focus more on patient care.

The audit trail capability provided better management of keys and ensured accountability among staff members.

With enhanced communication, operations, and workflow, Traka's solution operates seamlessly and contributes to the ongoing benefit and security of all Kingston Hospital staff, patients, and visitors.

“The added security benefit is the audit control with alerts sent to our security teams if keys haven’t been returned. The cabinets have been well received and staff are especially happy with the time being saved,” Liam Topham concluded.

In conclusion, Traka's implementation at Kingston Hospital NHS Foundation Trust has transformed key management, alleviated operational burdens, and enhanced security. With streamlined processes and audit capabilities, staff can prioritize patient care while ensuring accountability. Traka's solution underscores a commitment to efficiency and safety, benefiting staff, patients, and visitors alike.
