D3 reduces incidents and improve staff allocation at UPMC

UPMC is comprised of 21 hospitals and has more than 55,000 employees. With over 1600 incident reports occurring monthly, 260 officers and over 301 individuals utilizing the reporting system, the UPMC needed an incident reporting software that would streamline the reporting process but that could be easily configured to fit the complex needs of their organization.

The challenge

Automated process to quickly and efficiently access information

UPMC needed a way to access accurate, up-to-date information quickly and easily. Previously, UPMC staff would need to be on-site to access information through a manual process which lacked visibility and efficiency.

Sharing incident information between various departments

UPMC was using word templates located in centralized databases. If a serious incident occurred, the information would need to be sent via e-mail or fax to where the investigator was located. There was no way to access the information offsite and as such, situations would occur where incidents would escalated unnecessarily since they did not have a timely response rate.

Real-time, complete date records

UPMC guards needed to return to the office in order to record their field findings. This would often lead to unnecessary costs incurred by additional resources required. Without having a reporting template outlying the fields required, often information would be sparse and incomplete.

Compiling information to derive fiscally responsive decisions

Obtaining historic records and performing trend analysis was not possible before the implementation of the D3 solution. Staff was not utilized in the most efficient manner and training sessions were not focused on the most important areas reflecting the needs in the field.

The D3 solution

UPMC deployed the D3 incident reporting and case management software along with the dispatch and post orders modules. They self-deployed the software easily and seamlessly across the 21 sites. With the D3 solution they were able to configure each and every aspect of their collection and reporting needs; unlike any other reporting software.

The results

Ease of use and one system

Regardless of the user, staff at UPMC find the system easy to operate. D3 allows for remote access to all records and provides the ability to make immediate decisions irrespective of location. UPMC is able to access all of the 21 hospital sites from anywhere, anytime. The restricted access features permits access to users where applicable. While providing the necessary permission features, D3 ensures patient confidentiality and privacy laws are followed. With a fully robust in-house training program, UPMC wanted to self-deploy. Through the use of the dedicated business analyst and a broad array of deployment training programs, UPMC was able to seamlessly incorporate the training into their program.

Make better financial decisions

Trending analysis cannot get any simpler. The D3 system allows for the ability to examine commonalities and therefore make better financial decision based on solid data intelligence. UPMC configured numerous reports that were used by upper management to informed decisions for the betterment of processes and reduction in incidents. In 2011, UPMC identified training area requirements to enhance the focus where reduction in incidents could occur; leading to expected monetary savings in 2012.

Inter-departmental intelligence

Incidents don’t always operate independently, and with the D3 system, UPMC is able to incorporate events from Human Resources, IT, Security, Risk Management and Audit. The incident reporting software provides UPMC with access to data in a holistic way, meeting stringent regulatory and compliance requirements that are necessary for the organization to function at the highest standards.
