Site assessments key to choosing the right school security architecture

For schools considering on-premises, cloud-based, or hybrid security systems, the right decision usually starts with operations rather than products. 

Systems integrators first need to understand how the school functions during an incident, who depends on the security system, and whether existing infrastructure supports that response or slows it down.

This becomes especially important when older hardware and budget limits shape what a school can realistically do. In many cases, the issue is not whether cloud is better than on-premises, but which architecture matches the school’s current needs while leaving room for future growth.

According to Greg Colaluca, CEO of Intellicene, the first conversation should not revolve around hardware or software.

“I'd want to understand how the campus actually functions when something goes wrong,” Colaluca said. “Who gets the call first? How is information shared? Which departments are involved, and what role do they play?”

Those questions, he said, usually provide a clearer picture than a list of devices alone.

Start with how the school works

Schools are complex operating environments. A security event may involve administrators, campus security, IT, facilities, teachers, reception staff, emergency responders, or district leadership. Information may come from several systems and different teams may become involved before a decision is made.

Colaluca said integrators should examine what happens once an issue is identified.

“On many campuses, information comes from several different places, and multiple groups may be involved before a decision is made,” he said. “Understanding those day-to-day realities often leads to better recommendations because they reflect how the institution actually operates.”

That approach can help integrators avoid recommending technology that does not match the school’s workflows. A district may not need a full cloud migration. A university may need better coordination across existing systems. Another campus may benefit from a hybrid model that supports gradual modernization.

“In many cases, the assessment may show that existing on-premises systems are still the right fit,” Colaluca said. “In others, a hybrid approach may make sense as the campus evolves.”

Understand the trade-offs

Kumar Sokka, CEO of Acre Security, said on-premises systems can offer schools a strong sense of local control. But that control comes with operational responsibility.

“On-premises systems offer a strong sense of local control, but they also put the burden of maintenance, updates, and cybersecurity squarely on the district,” Sokka said. “For teams with limited technical resources, that can become difficult to sustain.”

This is one of the main reasons schools are reassessing security architecture. Districts may want to keep control over certain systems or data, but they also need to maintain software, apply cybersecurity updates, troubleshoot issues, and manage multiple buildings.

Cloud-based systems shift some of that operational burden away from the school.

“They make updates more efficient, improve remote troubleshooting, simplify management across multiple campuses, and let districts scale more easily as buildings, users, and security needs change,” Sokka said.

However, Sokka added that the trade-off looks different for every district. That is why the site assessment stage is critical. The decision should be based on staffing, infrastructure, security goals, technical resources, and long-term plans.

Look beyond devices

Sokka said integrators should understand the school as an operating environment, not just as a collection of devices.

A good assessment begins with how the district works day to day. Integrators should ask how many buildings are being managed, which entrances matter most, and where recurring gaps appear.

They should also examine common operational issues. Are doors being propped open? Are credentials revoked quickly when staff leave? Are visitors kept to the right areas? 
Can administrators see activity across every campus, or only in isolated areas?

These questions help identify whether the school needs better access control workflows, centralized visibility, improved visitor management, more consistent credential policies, or stronger multi-campus oversight.

From there, integrators can assess the existing infrastructure. This includes cameras, access control panels, locks, readers, servers, and storage. The aim is to determine what can be reused, what is limiting the district, and which systems are open enough to support future integration.

Reuse what works

Legacy hardware is not always a problem. For many schools, existing systems may still perform the functions they were purchased to support. Replacing them may not be necessary or financially realistic.

A stronger approach may be to build around usable assets while improving management and visibility. This could mean keeping certain on-premises systems in place, adding cloud-managed capabilities, or using a hybrid architecture to connect fragmented systems.

Such decisions are especially relevant in education, where budgets are often constrained and security needs continue to evolve. A phased approach can allow a school to modernize without unnecessary disruption.

For integrators, this means the recommendation should not be driven by a preference for cloud or on-premises technology. It should be based on what the school needs to operate more effectively and securely.

Move toward connected control


The goal of a site assessment is to help schools move from fragmented security to connected control. That may mean different things for different institutions.

For one district, connected control may mean centralized access management across multiple buildings. For another, it may mean clearer incident workflows, better information sharing, or improved visibility into entrances and visitor movement. For a larger campus, it may mean connecting information from multiple systems so decision-makers can understand what is happening faster.

“In the end, the integrator's job is to help a school move from fragmented security to connected control,” Sokka said. “To recommend the architecture that gives it the greatest visibility, flexibility, and resilience, based on where it is today and where it's headed.”

For schools, the architecture decision is therefore less about adopting the newest model and more about choosing a path that fits operational needs, existing infrastructure, and future growth.

For integrators, the opportunity is consultative. The most valuable recommendation will come from understanding how the school actually functions, where risk appears, and which systems can support a more connected and resilient security environment.
